The Challenge

For the past 5 years, private real estate investors across Vilnius and Kaunas have trusted Real Game Management to help them manage and grow their portfolios. Whether their focus is residential apartments, retail shops, office spaces, or industrial properties, these investors rely on Real Game’s expertise to handle everything from rental process management to day-to-day operations.

All in all, Real Game Management oversees a mixed portfolio of 20 properties. With just a two-person property management team, supported by a network of professionals for maintenance, repairs, and investment consulting, they handle the daily operations on behalf of their investors.

But how does such a small team keep everything running smoothly across a diverse and growing portfolio?

We sat down with Dalė Kulak, Real Estate Manager at Real Game Management, to learn how her team tackles the complexity of property management. As well as how Moderan has become more than just a daily tool, but a trusted partner that helps deliver even greater value to her own clients.

The Breaking Point

Like many property management service providers, Real Game Management started with Excel. While this worked well for a couple of buildings with few tenants, the approach quickly became unsustainable as their portfolio grew and their operations got more complex.

The breaking point came when their workflow meant encountering:

  • Huge, unwieldy spreadsheets
  • Accidental and mystery formula changes
  • Scattered documents
  • No easy way to link data to properties

To this, Dalė reflects:

“Excel worked fine when we had just a few properties, but now it would be a waste of time for day-to-day operations.”

Realizing that dedicated software was necessary, the team tested a locally-developed tool that initially showed promise — including features for tenant access and communication. But as they worked with it, they discovered that while it offered many things, it didn’t deliver well enough on the essentials they actually needed, such as utilities tracking and a clear portfolio overview.

“It took a lot of my time, and it was a good lesson to know what I do not need.”

The Solution

Dalė found Moderan through a colleague, and with her previous experience using software, she knew exactly what she did and did not want. Today, more than 3.5 years later, she still points to that first introduction as the turning point.

“My colleague showed me Moderan and we contacted them… it was easy. After a one hour introduction, I knew I could try it. They gave me the trial version and the prices and that’s it. We decided to go with Moderan.”

When it came time to onboard and make the switch, that went smoothly as well.

The team at Moderan worked closely with Dalė to migrate both simple and complex properties into the platform. Whenever unique challenges arose, especially with custom cost calculations, the Moderan team listened, collaborated, and came up with tailored solutions together.

Dalė emphasizes the quality of communication and support:

“We took one property which was easy, then a really hard one… When they didn’t have the answers, they came back after discussing with their IT team and gave me solutions. The communication was easy and answers were quick.”

This collaborative approach gave Real Game Management confidence that Moderan wasn’t just software, but a true partner invested in their success.

Day-to-Day Impact: Efficiency and Confidence

Today, Moderan is Real Game’s core business tool. It’s open all day, every day, right next to email and Google Drive.

What Moderan Simplifies:

  • Accessing lease terms and agreements
  • Generating electricity, water, and other utilities usage and cost reports for tenants
  • Quickly answering property owners’ and investors’ questions
  • Keeping all property data centralized and organized

Dalė shares how Moderan helps her handle tenant questions:

“If a tenant asks me something… I just go to Moderan. I get the data for the past one or two years, and I send them a nice table with all the explanations, and numbers. I can send them a report within two minutes and they usually don’t reply to me after that because they get more than they asked for.”

Instead of digging through folders and PDFs, Dalė gets what she needs instantly and can then move on with her day.

“If I get a call from a tenant about the rent agreement… I can turn on Moderan and find it easily. I don’t need to go to Google Drive, find the rent agreement, open it and read it again and again.”

This means Real Game Management can focus on growing their business, as opposed to firefighting day-to-day issues.

The Outcome

Less stress, more focus on growth planning

Since adopting Moderan, what used to be time-consuming manual work is now handled in just a few clicks. The centralized platform also makes monitoring cash flows easier and improves accuracy when forecasting growth.

For Real Game Management, it also boosts client confidence by showing a well-organized, professional approach to managing their investments. They even feature Moderan in new customer presentations, a sign of trust and a tool that gives them an edge.

“We are happy that we can call Moderan our partner.”

Advice to Other Small Teams

Switching from legacy tools like Excel to dedicated software can feel like a big leap, especially for smaller teams. When the breaking point for Excel does come (and it will!), Dalė’s advice is simple:

“You have to clearly know and articulate your needs and look for someone who can fully fulfill them. Also for someone who is flexible if needs change.”

The key is to find a partner, not just a platform, that grows with you — not by stacking up endless features, but by making sure the essentials are done exceptionally well. As Dalė’s experience shows: you don’t need many things that work a little, you need a solution where the important things, like cost calculations and lease management, work flawlessly.

And for those who think software like this is only for the big players?

“Moderan has a solution for small companies. It’s very flexible software and can be used by anyone.”

For Real Game Management, the switch didn’t add complexity, it removed it. With the right system in place, even a small team can manage a diverse portfolio efficiently, respond to clients faster, and create a more professional, trustworthy experience for investors and tenants alike.
